Order Completion

The Order Completion wizard provides a sequential set of steps guiding a photographer through completing an order and uploading it directly to Pounds or saving it to media to be delivered physically. Account information and shipping details are also verified in this dialogue. Selecting the Complete and send order tool in the Shopping Cart opens the Order Completion wizard.

Step 1: Account Information

The Account Information screen requires entry of your name or studio name, email contact address, Pounds account number, tax exempt status, and the state in which you do business.

This email address is used for reference only if there is a problem with an order that cannot be processed into our system. The email address Pounds has on file that was provided in your Pounds account application, or subsequently updated, is where order confirmation emails or erred order detail emails are sent once an order processes into our system.

Your 6-digit Pounds account number must be entered. An incorrect account number will prohibit successful processing into our system.

The Tax Exempt check box can be selected if you have a valid tax id on file for your business. Note that this is only for calculating (or not calculating) the sales tax display in Records or ProMatch Events. It does not affect the tax exempt status established with your Pounds business account or actual billing invoice.

Select the state in which you do business from the State drop-down options.

This entered information will remain and be displayed for subsequent orders.

After all information has been added, click the Next button in the lower right corner of the screen. The Shipping Method screen will then open. Clicking the Cancel button in the lower left corner of the screen will close the Order Completion wizard and will return to the Shopping Cart window.

Step 2: Shipping Method

The Shipping Method screen allows for selection of shipping options for the order including express shipping or drop shipping.

Studio Default

The Account Default Shipping Method option is the default active setting. This option indicates that the order is to be delivered as established by your business account with Pounds, such as shipping by common carrier or pick up at a service center. Default shipping charges are not displayed in Records or ProMatch Events, but will be updated in the final billing invoice.

If a different Shipping Method is desired, then select the corresponding radio button. Otherwise, click the Next button in the lower right corner of the screen to proceed to the Send Order screen. Clicking the Back button in the lower left corner of the screen will go back to the Account Information screen.

Express Shipping

Selecting the Express Shipping option will update the delivery method for the order to Express Next Day delivery.

Selecting Express Shipping only affects the shipping service and not the time to produce the order in the lab. If an order needs to be rushed through production, please contact Customer Service for details about rushing an order.

Additional shipping charges above and beyond the default shipping method will apply to express shipments and are displayed in Records or ProMatch Events. Express packages exceeding 5 pounds will be assessed actual shipping charges at the time of invoicing.

If a different Shipping Method is desired, then select the corresponding radio button. Otherwise, click the Next button in the lower right corner of the screen to proceed to the Send Order screen. Clicking the Back button in the lower left corner of the screen will go back to the Account Information screen.

Drop Shipping

Selecting the Drop Ship option will allow an order to be delivered to an alternate address other than the customer account default. Billing invoices will not be included in Drop Ship orders.

Additional shipping charges above and beyond the default shipping method will apply to drop ship orders and are displayed in Records or ProMatch Events.

Shipping via US Mail is available for orders containing flat prints up to 20-8x10's (40-5x7's); no bulky items. No tracking is available with the US Mail method.

Shipping via UPS is available for prints up to 11x14, quantity small prints, or small bulky items.

Oversized drop ship via UPS can be selected for orders containing prints sizes 11x14 up to 20x24.

Albums and prints larger than 20x24 will incur cost based shipping charges at the time of invoicing. Pounds reserves the right to recover and charge for excessive drop shipping costs. A customer service representative will contact you prior to shipping if an order will incur additional fees.

After selecting the corresponding Drop Ship radio button, click the Next button in the lower right corner of the screen to proceed to the Shipping Address screen. Clicking the Back button in the lower left corner of the screen will go back to the Account Information screen.

Selecting a Drop Ship option and then selecting Next will open the Shipping Address entry screen. Complete the data entry in the drop shipping address fields, then click Next to proceed to the Send Order screen. Clicking the Back button in the lower left corner of the screen will return to the Shipping Method screen.

Step 3: Send Order

The final step in the Order Completion wizard provides options to send the order immediately, save it for sending later by schedule or manually, or save it to disk for an alternate method of delivery. During completion, the order is compressed and encrypted for ease of handling and security. Upon send completion, the current order will be cleared from the Cart. If you want to return to the order, press the Back button.

Send Now

Send now via the Internet will upload the completed order file directly to Pounds servers for processing. While uploading immediately sent orders, other orders can be created or manipulated but it is not recommended due to memory constraints. If uploading and creating orders at the same time is needed, then using the Save for sending later completion option is recommended.

Select the Send now via the Internet option. Then click the Send Now button in the lower right corner of the screen. The application will communicate with the lab servers and begin transferring the order. The order will be displayed in the Uploads window where progress of the upload can be followed. Do not close the application until the upload has completed.

If this option is not desired, then click on one of the other send options or click the Back button in the lower left corner of the screen to return to the Shipping Method screen.

If the transfer is cancelled, the order file will discontinue the upload processing and be available for sending later.

If the internet connection is disrupted and the order stops uploading, upon reconnection and sending, the order will upload from the point of the disconnection. Generally, it will not be necessary to resend the entire file.

When the order has completed the upload, a message will display in the order file line of the Uploads window.

The order is complete! Other orders can be created or changed, or the application can be safely quit. Once the order has processed into our system, a confirmation email will be sent to the email address we have on file for your account.

Save for Sending Later

Save for sending later will save the completed order file in the Uploads window to be uploaded later via the internet. While uploading these orders, other orders can be created and manipulated.

Select the Save for sending later option. Then select the Next button in the lower right corner of the screen.

If this option is not desired, then click on one of the other send options or click the Back button in the lower left corner of the screen to return to the Shipping Method screen.

After selecting the Next button, the order will complete processing and save to the Uploads window allowing it to be uploaded to the lab at a later time. A checkout screen will open. This presents two options:

Click the Go to Uploads button to close the Checkout screen and open the Uploads window.

Click the Show Receipt button to open the Order Summary Report. This attempts to open a browser window displaying an HTML page of the order summary that is created during order completion. If opening the browser fails, access the HTML page called preview.html inside the order folder which is contained in the .PoundsRecords or .PoundsProMatch folder in the user home folder. This printable report can also be accessed from the Uploads window.

The completed order will be saved to the Uploads window identified with a .ro order id, file size of the order, and the date and time it was saved. The Order Summary Report can be accessed by clicking the Printable report icon. The order can be uploaded to the lab either by clicking Send or by scheduling.

Save to Disk

Save to disk for alternate delivery simply saves the completed order file to a user specified location, so it can be burned to CD or DVD for some other delivery method. Orders which are saved to an alternate location are not kept in the Uploads window order history area.

Select the Save to disk for alternate delivery option. Then select the Next button in the lower right corner of the screen. A Save navigation window will open. The completed order file can then be saved to a location which can later be accessed for burning to CD or DVD.

If this option is not desired, then click on one of the other send options or click the Back button in the lower left corner of the screen to return to the Shipping Method screen.

Uploads Window

The top pane of the Uploads window shows order history and displays the orders queued for sending and orders that have been sent. The printable order summary report can be accessed, the order can be reloaded to create a new order, or the order can be removed in this section.

If an order has not already been sent, then uploading to Pounds can be accomplished by sending a single order, sending all unsent orders, or scheduling when orders are to be sent.

These orders are kept for the length of time specified in the Old orders preference on the right side of the window.

The lower pane of the Uploads window shows orders that have been saved using the Save for later tool in the Shopping Cart. These orders can be reloaded and modified and then sent for upload or they can be deleted.

Uploads Order Display

Orders that are ready for uploading to the lab, are in process of uploading, or have completed uploading are contained in the upper pane of the Uploads window. Depending on its status, each order contains a variety of features for displaying a summary report, sending or reloading an order, or removing the order.


Printable report displays the Order Summary Report. This attempts to open a browser window displaying an HTML page of the order summary that is created during order completion. If opening the browser fails, access the HTML page called preview.html inside the order folder which is contained in the .PoundsRecords or .PoundsProMatch folder in the user home folder.

This printable report can also be accessed from the View Cart window through the Show Receipt button at the top of the page.

The Order Summary HTML can be printed by clicking on the Print Order button at the top of the page. The summary lists the items in the order and displays a small thumbnail of the product along with the product description, options, quantity and pricing. Another feature is a summary of the print sizes, or products. This summary lists each specific product and summarizes the total quantity of that product and which items contain that product. An images summary also exists, listing each specific image file name, the quantity of times it is used in an order and the items that contain that image.




Send begins the upload process to the lab for the specific order.




Open as new creates a new order from the contents of a previously sent order. Selecting this option will open the order in the Shopping Cart window as a new order.




Remove deletes the order from the Uploads window when selected, with no additional confirmation prompt.



Saved Orders Display

Orders that have been saved as Save for later are contained in the lower pane of the Uploads window. These orders can be recalled and modified before completing the order for sending or they can simply be deleted.


Load order will display a confirmation Reopen Cart option when selected. Then, if the confirmation is selected, the saved order will be opened and displayed in the Shopping Cart allowing for any modifications and sending for completion.




Delete order will display a confirmation Remove from Cart option when selected. Then, if the confirmation is selected, the saved order will be deleted.



Upload Tools

The Uploads window contains some tools on the right side of the window that are useful for sending orders as well as archiving orders.

Send all will proceed to submit all unsent completed orders to the lab.



Use a schedule allows setting a specific time when all unsent completed orders will begin to be submitted to the lab. This allows for orders to be created at the same time as orders are being uploaded.



Old orders is a preference setting that determines how long created and sent orders will remain in the Uploads window and when they will be deleted from your local system.

The setting is selected from the pull-down menu.
